1. Who we are

Hannah Event Planner (hannaheventplanner.com) is a sole trader wedding coordination business based in the North East of England, offering day-of coordination, partial planning, and full planning services. For the purposes of UK data protection law, Hannah Stevenson, trading as Hannah Event Planner, is the data controller responsible for your personal data.

If you have any questions about this policy or how your data is handled, you can contact me at hello@hannaheventplanner.com.

2. What personal data I collect

I collect personal data when you interact with this website or get in touch about my services. This includes:

●      Contact and enquiry details: name, email address, phone number, and any information you share about your wedding (date, venue, guest numbers, budget, and similar details) when you fill in a contact or booking enquiry form.

●      Communications: any emails, messages, or notes from calls between us relating to your enquiry or booking.

●      Technical and usage data: information collected automatically when you browse the site, such as your IP address, browser type, device type, pages visited, and how you found the site, gathered via Google Analytics.

●      Social media interactions: if you engage with my Instagram or Facebook content or ads, the platform may share limited interaction data with me via a tracking pixel.

I do not knowingly collect any special category data (such as health information) unless you choose to share it with me directly as part of planning your wedding, in which case it is used only for that purpose and kept securely.

3. How I use your data and my legal basis

I will never sell your personal data or share it with third parties for their own marketing purposes.

4. Cookies

Cookies are small text files placed on your device when you visit a website. They help the site function, help me understand how visitors use it, and, where you consent, support advertising on social media. This site uses the following categories of cookies:

Strictly necessary cookies

These are required for the website to work properly (for example, remembering your cookie preferences) and cannot be switched off. They do not require your consent.

Analytics cookies — Google Analytics

With your consent, this site uses Google Analytics to understand how visitors use the site (such as which pages are viewed and how long visitors stay), so I can improve it. Google Analytics collects information such as your IP address (which may be anonymised), device and browser type, and browsing behaviour on the site. This data is processed by Google; you can read Google's own privacy policy for details of how they handle this information.

Advertising / social media cookies — Meta (Facebook/Instagram) pixel

With your consent, this site uses a Meta pixel to help measure the effectiveness of, and tailor, my Instagram and Facebook content and adverts. This may involve Meta linking your visit to this site with your Facebook or Instagram account if you are logged in.

Cookie summary table

Exact cookie names and durations depend on the current versions of Google Analytics and the Meta pixel and may change from time to time; this table is reviewed periodically to keep it accurate.

Managing cookies

When you first visit this site, you will be shown a cookie banner where you can accept or decline non-essential cookies. You can change your preferences at any time via the cookie settings link in the website footer. You can also block or delete cookies using your browser settings, though doing so may affect how parts of the site work.

5. How enquiry and booking data is used

When you submit a contact or booking enquiry, the details you provide are used to respond to your enquiry, prepare a proposal, and, if you go ahead, to plan and coordinate your wedding. This may include sharing relevant details (such as timings or supplier requirements) with venues and suppliers directly involved in your wedding, with your knowledge as part of the planning process.

6. How long I keep your data

●      Enquiry data from people who don't go on to book: kept for up to 12 months, then deleted, unless you ask me to remove it sooner.

●      Client and booking data: kept for the duration of our working relationship and for a period afterwards as required for accounting, legal, and insurance purposes (typically up to 6 years).

●      Analytics data: retained in line with Google Analytics' standard retention settings.

7. Sharing your data

I don't sell your data. I may share limited information with:

●      Venues and suppliers directly involved in delivering your wedding, where relevant to the services being provided.

●      Service providers who support the running of my business, such as website hosting, email, and accounting software.

●      Google and Meta, for the analytics and advertising purposes described above.

●      Professional advisers (such as an accountant) or authorities, where required by law.

8. Your rights

Under UK GDPR, you have the right to:

●      Access the personal data I hold about you.

●      Ask me to correct inaccurate data.

●      Ask me to delete your data, in certain circumstances.

●      Object to or restrict certain processing.

●      Withdraw consent at any time, where processing is based on consent (such as analytics or advertising cookies).

●      Request a copy of your data in a portable format.

●      Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data hasn't been handled properly.

To exercise any of these rights, contact me at hello@hannaheventplanner.com

9. Changes to this policy

I may update this policy from time to time, for example if the tools or services this website uses change. The 'last updated' date at the top of this page shows when it was last revised.
